Your contribution will be

  • Providing administrative, operational and organisational support for the Development Director, including managing the calendar, coordinating travel arrangements, assisting with budget tracking, expense reports as well as any ad-hoc matter allocated by the Development Director
  • Liaising with external vendors and suppliers to ensure timely delivery of services and materials
  • Facilitating collaboration within and across departments by coordinating inter-departmental and cross-departmental meetings according to the FOUR PAWS facilitation framework in alignment with the organisation’s goals
  • Organising team events, workshops, and training sessions, including the booking of venues and preparing materials
  • Accompanying the coordination of project teams, monitoring project progress and budgets as well as preparing project presentations as well as analysing information, researching, and preparing briefs, summaries, reports, and statistics
  • Tracking progress, managing timelines, and ensuring team alignment with project goals
  • Compiling and maintaining project documentation, reports, and status updates for the team
  • Supporting the recruitment and onboarding process for new team members by ensuring they have access to necessary resources and tools
  • Ensuring adherence to organisational policies and procedures within the team’s daily operation
  • Ensuring the department standard documents are tracked and updated, while serving as the first point of contact for their creation and revision

Your profile ideally illustrates

  • Professional experience in Development (Fundraising, Communications, Multimedia) coordination, team coordination, project support
  • Degree in fundraising, communications, multimedia, business administration, or organizational development
  • Excellent English and German skills (written and spoken)
  • MS Office (especially Excel and PPT)
  • Strong organizational and time-management skills, attention to detail, proactive and solution-oriented mindset, ability to manage multiple priorities, collaborative working style with high discretion
  • Passion for animal welfare and FOUR PAWS' vision and mission
